Manage refunds from dashboard

The ¡HolaOlas! dashboard allows you to manage all refunds directly from your interface, without having to contact support.

All refunds are processed securely via Stripe and are fully traceable.

Accessing refunds

To issue a refund:

  • Go to your dashboard
  • Open the Bookings tab
  • Select the booking in question
  • You will see two refund buttons available

It's that simple!

The two refund options

In the Bookings tab, you have two simple choices :

  • Refund deposit (orange button) : Refunds only the initial deposit paid
  • Refund full (red button) : Refunds the entire amount paid (deposit + balance if already paid)

Both buttons appear according to the booking payment status.

Refund process

The process is very simple:

  • Click on the button corresponding to your choice
  • A confirmation appears to validate your action
  • Confirm your choice
  • That's it! The refund is processed automatically

Refunds are irreversible, so confirm carefully before validating.

What happens after confirmation

Once you confirm the refund:

  • The system creates a Stripe refund automatically
  • Funds are returned to the customer using their original payment method
  • Booking status is updated
  • If you chose "Refund full" and the balance had already been charged, both payments (deposit + balance) are automatically refunded

Everything is handled technically by ¡HolaOlas! and Stripe, you just need to choose and confirm.

Refund traceability

All your refunds are recorded and traceable:

  • Date and time of refund
  • Type of refund issued
  • Amount refunded
  • Stripe reference for tracking
  • Updated booking status

You can view the history of all your refunds from your dashboard.

When to use each option

Refund deposit (orange button) :

  • Late cancellation with penalty on balance according to your policy
  • Customer has already paid deposit but you want to keep the balance
  • Cases where only the deposit should be refunded

Refund full (red button) :

  • Free cancellation according to your policy
  • Force majeure cases
  • Error on your side
  • You want to fully refund the customer

Refund timelines

Exact refund receipt timelines for the customer depend on:

  • customer's bank (usually 5 to 10 business days)
  • Stripe (immediate processing)
  • payment method used (credit card, bank transfer, etc.)

¡HolaOlas! processes the refund immediately, but the customer will receive funds according to their bank's timelines.

Communication with customer

After a refund:

  • Booking status is updated in the system
  • Stripe may send an automatic notification to the customer depending on its configuration
  • It is recommended to contact the customer directly to inform them of the refund and receipt timelines

Communication with the customer remains your responsibility to ensure a good relationship.
