Modify a booking from dashboard
Sometimes, you or your customer need to modify a booking: change the date, time slot, number of participants or correct information.
The ¡HolaOlas! dashboard allows you to easily modify a booking without having to delete it and create a new one.
Access modification
To modify a booking:
- Go to your dashboard
- Open the Bookings tab
- Click on the booking you want to modify
- In the booking details, click the Modify booking button
- A modification window opens with all editable fields
Note: You cannot modify a cancelled or expired booking.
What you can modify
You can modify the following elements of a booking:
- Dates:
* For activities: the activity date (`booking_date`)
* For accommodations: check-in and check-out dates (`checkin_date`, `checkout_date`)
- Time slot: For activities with time slots, you can change the selected slot
- Number of participants: Increase or decrease the number of participants
- Customer information:
* Customer name
* Customer email
* Customer phone
All these fields are editable directly from the modification form.
Automatic availability check
When you modify a booking, the system automatically checks availability:
- If you change dates: The system checks that the new dates are available
- If you change the time slot: The system checks that the new slot has space
- If you change the number of participants: The system checks that capacity is sufficient
- Smart exclusion: The current booking is excluded from the check to avoid conflicts
If the modification is not possible (fully booked dates, unavailable slot, etc.), you will receive an explicit error message.
Impact on price
When you modify a booking, the price may be recalculated:
- Date change: If rates vary by date, the price will be recalculated
- Participant change: If you increase or decrease the number of participants, the total price will be adjusted
- Time slot change: If slots have different rates, the price will be updated
- Display: The new price will be displayed in booking details after modification
Important: If the price increases, you will need to handle the additional payment with the customer. If the price decreases, you can issue a partial refund.
Google Calendar synchronization
If you have connected your Google Calendar:
- Automatic update: The event in your Google Calendar will be automatically updated with the new information
- Old event: The old event will be deleted and replaced by the new event
- Synchronized details: Date, time, number of participants and customer information will be synchronized
You don't need to do anything: synchronization is automatic.
Customer notification
Important: HolaOlas does not automatically notify the customer when modifying.
It's up to you to:
- Inform the customer: Contact them by email or phone to inform them of the changes
- Explain changes: Detail the modifications made (dates, slots, participants, etc.)
- Handle price adjustments: If the price has changed, agree with the customer on the payment or refund method
- Confirm: Make sure the customer has noted the new information
Clear and quick communication improves customer experience and avoids misunderstandings.
When to use modification
Booking modification is useful in several cases:
- Customer request: The customer wants to change the date or time slot
- Error correction: You made a mistake during initial entry
- Capacity adjustment: You need to adjust the number of participants
- Availability change: You free up slots or dates
- Special case management: Adaptation to specific situations (weather, force majeure, etc.)
Modification is more practical than cancellation + new booking because it preserves history and payment information.
Tips for modifying a booking well
- Check availability first: Make sure the new dates/slots are available before proposing the modification to the customer
- Communicate quickly: Inform the customer as soon as possible after modification
- Document changes: Note the reasons for modification for future reference
- Handle price adjustments: If the price changes, process the additional payment or refund quickly
- Check synchronization: If you use Google Calendar, verify that the event has been updated
- Confirm with customer: Make sure the customer has received and understood the new information
With these best practices, booking modification becomes an effective tool for managing your business.
